Draft for review

This draft covers visitors and inquiries on the replacement DatePalm website being previewed here. It is not an approved notice for the existing live website.

Draft for review — not final. Replit is the approved intended host for the website and API. The owner has confirmed Business Identity email configuration in Northwest’s dashboard. Deployment settings, forwarding, access permissions and retention/deletion practices still require verification and approval. The current business owner must explicitly approve the final wording before publication. This page is not legal advice and does not claim compliance with any particular law.

Who we are

DatePalm AI Solutions, Inc. provides business automation consulting, CRM integration, lead follow-up and appointment-scheduling services across industries. Our business mailing address is 30 N. Gould St #23750, Sheridan, Wyoming 82801. This is a mailing address, not a walk-in office.

This notice is limited to website visitors and inquiries. Processing our clients’ customer data through automation services requires separate assessment and appropriate service agreements.

Current contact path

When confirmations are enabled, after Formspree accepts an inquiry, the submitted email address is used to send one transactional confirmation through Resend, an additional service provider. No submitted name, company or message is included in that email. It is not marketing. Confirmation attempts are limited to one per address per 24 hours using temporary, hashed counters in server memory; counters reset on restart and are not shared between instances. Resend processes the recipient address and email-delivery data; its retention, access and provider-controlled limits need review before activation. No tracking pixels or marketing links are included; open and click tracking must be disabled in Resend before activation.

The form collects your name, business email, company name, a process description of up to 1,500 characters, optional website and CRM details, and required permission to contact you about the inquiry. These details pass through our API server to Formspree; the browser does not submit directly to Formspree. Formspree stores the submission in its dashboard and sends an email notification to admin@datepalmai.com. The owner confirmed Business Identity email configuration for datepalmai.com in Northwest’s email dashboard and reads the mailbox in Microsoft Outlook using IMAP. Outlook is the email application; this mailbox is not described as Microsoft 365 or Exchange.

We use consultation information to respond to inquiries, assess service needs, arrange consultations and prepare requested proposals. The form does not enroll you in marketing, and no automated marketing or scheduling service is connected in this replacement. Any other marketing use or disclosure must be verified before the notice is finalized.

Storage, access, and spam protection

The consultation application does not keep a submission database, save form entries in browser storage, or intentionally record submitted fields in its application logs. Entries remain in the open form while you edit or if submission fails; the server temporarily processes them to validate and forward them. Formspree dashboard submissions and received email are separate retained copies. Outlook may also maintain synchronized local copies, archives or exports depending on its settings. Forwarding, server recovery/backups and Outlook local-copy settings remain unverified. The owner monitors the receiving inbox; the current account-access lists still need verification.

The API uses an IP-based counter to limit requests to five per 15-minute window. Counters are held in process memory, reset on restart and are not shared between server instances. The API does not forward the visitor’s IP address in the Formspree submission. A hidden field helps reject automated submissions, JSON requests have a 10 KB size limit, and Formspree applies its own filtering. Provider-side spam settings and related data handling remain to be checked.

The receiving address has been tested, but an accepted submission is not a guarantee of future email delivery or a booked appointment. If submission cannot be confirmed, use the direct email link. That link opens your own email app and bypasses the website form and Formspree.

Technical requests, fonts and logging

Loading the website makes requests to its hosting infrastructure. The replacement’s fonts are served from its own hosting rather than requested from Google Fonts. The API’s ordinary logs record request ID, method, path without query parameters, response status, timing and forwarded-proxy hop counts. Delivery failures record an error type and provider status when available, rather than the submitted message. The owner requires application logging to exclude inquiry bodies, credentials and unnecessary personal information.

Replit is the intended production host for the website and API. Replit documents 30-day deployment-log retention; this does not establish retention for other infrastructure data or analytics. Actual logging controls, access permissions and provider-controlled retention still need verification. No optional analytics or advertising trackers are authorized at launch. No visitor analytics, advertising tracker, embedded video or embedded booking widget was identified in this replacement’s active production source.

Read-only checks of an existing Replit-hosted deployment observed the GAESA cookie, which Replit documents as an infrastructure routing cookie that the application cannot disable, and an analytics-capable Replit platform script. The inspected script can send page addresses, referrers and browser information; actual event delivery and deployment analytics settings have not been verified. That deployment has not been established as the exact replacement launch candidate. This notice does not claim that cookies or tracking are disabled. Development tools may make technical requests in this preview; a complete cookie, storage and network review of the exact candidate website and API is still required before launch.

Proposed access and retention — not yet implemented or verified

The proposed policy would limit access to business owners/administrators, sales or operations personnel who need the inquiry, and technical contractors with limited, temporary troubleshooting access. Overseas personnel would receive access only when specifically authorized and necessary. This is a proposal, not a verified description of current permissions.

The proposed schedule is to delete Formspree dashboard copies within 90 days of submission after confirming inbox delivery, and unsuccessful or inactive inquiry emails 12 months after the last substantive contact. Neither schedule is implemented or approved as a final retention practice. Necessary information for converted customers would move to a customer record under a separately documented client-record schedule. An administrator, deletion process and provider recovery/backup settings must first be confirmed.

The proposal allows specific records to be held longer for legal obligations, litigation holds, disputes or legal claims, with restricted access and deletion when the exception ends. Deleting a dashboard entry or email may not immediately remove forwarded, local, archived, backup or recovery copies. The existence and retention of those copies must be checked. No Microsoft 365 or Exchange retention periods are applied to this IMAP mailbox.

Privacy questions and choices

Email admin@datepalmai.com with privacy questions or requests concerning access, correction, deletion or stopping inquiry follow-up, including requests available under applicable law. Please describe your request without sending sensitive personal information. Identity-verification steps, the person responsible for handling requests, provider deletion steps and response procedures remain subject to owner confirmation; this draft does not promise a response deadline or completed deletion from every copy.

See Formspree’s privacy policy. Its public policy describes retention based on service needs and legal exceptions, not a fixed backup-deletion period. Applicable Business Identity email terms, account controls and provider-controlled limits still need to be documented. The confirmed server configuration does not establish forwarding, Trash/deleted-message recovery, backup retention or Outlook local-copy settings.

Required before approval

Verify the Replit deployment and logging/tracking settings, email forwarding and recovery/backup controls, provider permissions (including any overseas access), implemented retention/deletion processes and privacy-request handling. The current business owner must explicitly approve the complete wording after actual practices and provider-controlled limits are documented and approved. Legal/privacy review has not yet been arranged; unresolved legal questions must go to a qualified adviser before publication. The existing Northwest-hosted WordPress website must remain live until the replacement is tested and a domain switch is separately approved; this draft does not describe that site’s contact implementation.
